FY24 Year-End Closing Schedule

Please take a moment to review our fiscal year-end processing deadlines and share with appropriate staff.

Following is the schedule for fiscal year-end close:

Friday, June 14

  • Deadline to process Scholarship Universe awards for FY24. Awards should be fully approved and at OSFA’s level by this day.

Monday, June 17

  • Final Budget Journal load to FMS for FY24.

Friday, June 21

  • Deadline for UGAF check requests and journal vouchers that need to post in FY24. Requests received after this date will be recorded in FY25. In order to be processed before year end close, check requests submitted via FAME will need to have unit approvals completed by this date.

Wednesday, June 26

  • Last payment run for FY24.

Friday, June 28

  • Credit card contributions (gift revenue) for FY24 must be received by Gift Account no later than 12 pm (noon). NOTE: Donors have until midnight, June 30 to give online at http://give.uga.edu.

Friday, July 5

  • Requests to set up year-end payables must be received by Expenditure Control no later than 5 pm. Please forward these requests by using the check request form with invoice to follow. NOTE: For all outstanding FY24 charges where an invoice has not been received, it is necessary that a payable be prepared. Payable requests cannot be submitted via FAME request entry form.

Monday, July 8

  • We will begin processing FY2025 UGAF check requests and Scholarship Universe awards. Budgets by class code will be automatically established to facilitate spending at UGA (FMS and Scholarship Universe). Preliminary budgets will be available until final adjustments are made on July 22nd.
  • We will begin processing FY2025 journal entry requests.

Thursday, July 11

  • Gifts (excluding credit cards), other income, signed pledge commitments, and planned gifts for FY24 must be received by Gift Accounting no later than 12 pm (noon). Gifts, pledge commitments and planned gifts must be postmarked and dated on or before June 30, 2024 to be included in FY24.

Tuesday, July 16

  • Gift Accounting will begin posting FY25 revenue in GAIL.

Monday, August 5

  • FY2024 reports will be available through the FAME system. Please note that information in those reports will be subject to audit adjustments.
