Using the Zuri Outlook Plug-In

The Zuri Plugin for Outlook is a tool to view a constituent’s contact information, create contact reports and interactions, and manage your tasks directly off of your email communications.

This feature will work on desktop or mobile devices, but only using an Outlook email client. Other email clients, such as the built-in email client on Apple devices, will not be able to use this; in those cases, you can install the Microsoft Outlook email client on your device to take advantage of this new functionality. Once you’ve worked with Advancement IT staff to get this add-in installed on your computer, a new Zuri Group Blackbaud CRM link will appear on the Outlook ribbon bar at the top right of the screen.

If you do not have your email preview on, you will need to open the email in order to access the add-in options.

Please be aware that your GAIL access roles will apply using this add-in feature so you’ll want to be careful to not edit existing contact information as it will write over data that is currently in GAIL. If you have a new contact record for a constituent, please use the Add button instead of editing. You should only ever use Edit on a contact record for instances where a street was misspelled, or a box number was incorrect, etc.

When Receiving an Email You Want to File a Report On

The File Report option allows you to upload the selected email to GAIL. Here you have 3 options:

  • File Interaction – uploads the email as a new interaction on the selected constituent’s record.
  • File Unplanned Contact Report – uploads the email as a new completed step in a selected prospect plan for the selected prospect.
  • File Planned Contact Report – uploads the email to complete a selected plan step within a selected prospect plan on the selected prospect’s record.

Note:  If you select a constituent that does not have a current prospect plan, you will not be able to file a planned or unplanned contact report, however, you can file an interaction. Additionally, Site is not an available feature at this time.

When you select one of the options above, the Outlook Add-in sidebar opens. The first step is to search for the constituent you want to file the interaction under. The system will automatically search using the email address of the primary email sender or recipient.

Click on the matched constituent that you want to enter a report on. Caution: You’ll want to be sure you choose the constituents individual record (you can add the spouse as a participant if applicable) to save the interaction to.

When Sending an Email

You can create an interaction in real time as you create a new email to a prospect or constituent. After typing your email (but before you click Send), you’ll click the File Interaction button from the Zuri menu on the ribbon bar.

You can also use the Contact Info button in your email to help find the correct constituent.

Confirm all the information brought over into the interaction is correct, then you can click the File Interaction button to record the interaction into GAIL.
