Getting Started with the Prospecting Tool

Introducing (Drum Roll Please) … the Prospect Overview Dashboard! It’s the latest tool that gives you the ability to create, analyze and manage constituent data at your own fingertips.

Before we dive into the ins and outs, it is our hope that this dashboard guides you in understanding prospects, leads you to make more informed decisions and helps us reach our fundraising and development goals. 

Now, let’s jump right in – starting with accessing the dashboard. Anyone with GAIL access can view the prospecting tool at gail.uga.edu/prospecting. If you need assistance with your login credentials, please contact AskIT

Help Is On The Way!

Now to the “How To” Guide button, located in top, left corner. 

This opens a quick tutorial on how to use the tool. 

Caution! I Have No Filter(s)

Filters are categorized under 7 titles. They are:

  • Education
  • Geographical
  • Employment 
  • Prospect Ratings
  • Donors 
  • Prospects 
  • Constituent Information 

Each filter uses a drop-down to display the options. All is the default for each filter, but you can unselect that and choose the option(s) you desire. You can also type the option you want in the blank space located above All. 

The goal is to select the filters you want from each category and in the end, view the constituent data based on those filters. Please note that working across filters will return “and” statements and working within the same filter will return “or” statements. 

Know Your Limit!

The Max Results and Record Count tabs at the top show how many total records are being viewed once you have selected your filters.  

If you are looking at ALL the data without any filters, the dashboard defaults to 25,000 results/records. 

The Max Results tab can be changed to more or less by clicking inside the box, but please keep in mind that this may affect the performance of the dashboard. 

The Results Are In!

The View Results button, located in the top, right corner is to be used after you have selected all of your necessary filters. 

Constituent Results shows Lookup ID, Name, Age, Primary City and State, Lifetime Giving, Most Recent Gift Date and Amount, Primary College, Primary Manager Name, Gender and whether the constituent is a Parent. 

The “More Information” column displays extra details about the constituent including Spouse, Total Years of Giving, Most Recent Designation and Degree Information. There’s also a “View Constituent in GAIL” button that takes you to the constituent’s profile in GAIL.

The Constituent Map displays the constituent results in geographical terms. 

You can also click on a particular geographical area to see the exact number of constituents (from the constituent results) in that region. 

Advancement Services will continue to enhance the prospecting tool and there will be additional support resources released soon to help users navigate it.
